Guidelines for incoming e-mail traffic

• Document formats:
  All e-mails that do not comply with the permitted formats will not be delivered. An automatically generated message is sent to the sender stating that the e-mail could not be delivered. In this case, resend the e-mail with a valid file format.
• E-mail size limit:
  E-mails that exceed a size of 15 MB including attachment will not be accepted.
• Number of recipients:
  Incoming e-mails that exceed the maximum number of 50 recipients will not be delivered.
• Encryption:
  Encrypted e-mails will not be accepted for security reasons (this also applies to all encrypted or password-protected file attachments or sub-components).
• Viruses and malware:
  E-mails that are detected as virus-infected by the municipal antivirus system will not be accepted or will be deleted immediately. The sender will not be notified.
• SPAM handling:
  A two-stage approach is used for SPAM defense:
  • All emails with a source address listed on zen.spamhaus.org are not accepted as potential SPAMMERS! A corresponding error message will be sent to the sender!
  • All other e-mails classified as SPAM will be quarantined and deleted or delivered by the recipient after checking.
• Organization-related e-mail addresses:
  When communicating with the departments of the Innsbruck City Administration, please use organization-related e-mail addresses wherever possible, such as those published on the website www.innsbruck.gv.at or found on e-mail signatures. This ensures that your request will be processed regardless of the availability of a specific clerk.

Guidelines for outgoing e-mail traffic

• Digital signature, official signature
  No outgoing emails from the City Administration are currently digitally signed. However, e-mails may contain officially signed documents as attachments.

Communication with certain defined partners is exclusively encrypted.
